Deleting your data

How to have your information removed from leke, whether you run a business on it, add slips for one, pay a business that uses it, or joined our waiting list.

If you run a business on leke

Download first. Your invoices and books are your business records, and South African tax law generally expects you to keep them for five years. leke does not keep a copy for you once your account is deleted. Before you delete, open each month in Books and tap Export books, and save the invoice PDFs you need. You can also email us for a copy of your information.

Delete everything. In the app, go to You, Delete account and confirm. This erases at once, from our database:

  • your sign-in and your profile;
  • every business on your account, with its details, bank details and settings;
  • your customers and families, and their invoices, quotes, credit notes, payment plans and the payments recorded on them;
  • reminders, and the notes you logged about customers' replies;
  • bank statement lines and the matches made from them;
  • proofs of payment, slips and your books;
  • the places of the people who add slips for you, so they can no longer add slips (their own sign-in stays, see below);
  • your notification addresses, tour progress, usage counts and audit log;
  • the files kept in your private folder: proof of payment screenshots, slip photos and slip files.

It cannot be undone. The invoice, quote and statement links you sent stop working. Messages you already sent stay in WhatsApp, and your WhatsApp account itself is not affected.

If you can't get into the app, email walbertyn@ciera.co.za from the email address on your account and say you want your account deleted. We delete it within 30 days and tell you when it is done.

Remove one customer, proof or slip. In the app you can correct a customer's details and stop billing them, but not erase them yet. To erase a customer completely, or a single proof of payment or slip, email us and we will do it for you.

What Delete account does not remove

  • Your business logo file. Delete account does not remove it from private storage yet. Nothing points to it any more and no customer can open it. To have it go at once, remove the logo under your business's settings before you delete your account, or email us afterwards and we will remove it.
  • Files, if removing them fails. If our server cannot remove your files, your account is still deleted, the failure is logged, and we remove the files by hand.
  • Your waiting list or sign-up form entry, if you filled one in. It is kept apart from your account: see below.
  • Error reports and server logs. Error reports have email addresses, phone numbers, account numbers and ids taken out before they leave our server, and are kept for the period our error tracker is set to. Server logs are kept for a short time by our host.
  • Backups. If our database provider holds a backup copy, it is replaced on the provider's own schedule. We never restore from a backup except to recover from a failure.
  • Copies others have. Invoices and statements your customers saved stay with them, and your accountant keeps what you sent them.

If you add slips for a business

Ask the business owner to remove you under People who add slips: you stop at once. The slips you added stay in their books, as their records. To delete your own sign-in, email walbertyn@ciera.co.za from its email address: the app does not offer Delete account to people who only add slips yet. We delete it within 30 days and tell you when it is done.

If you pay a business that uses leke

The business you pay decides what it keeps about you, so ask it first: it can correct your details, stop reminders to you, or ask us to remove you. If it doesn't help, email us at walbertyn@ciera.co.za with the business's name and the number or email address it uses for you. We ask for enough to find you and nothing more. We pass your request to the business, help it answer, and tell you what was done. The business may need to keep invoices it already sent you for its tax records.

If something about an invoice looks wrong, use "Report this invoice" on the invoice page.

If you joined our waiting list or filled in a sign-up form

Email us and we delete what you sent. We keep it only while we need it to contact you about leke. If you ask us to stop contacting you, we keep only a scrambled (hashed) form of your WhatsApp number, so we never contact you again.

Not switched on today

When these are switched on

  • WhatsApp connect: You, WhatsApp, then Disconnect. You can choose to delete the stored customer messages too.
  • Email you forward for sorting: mail that is not about money keeps only a fingerprint. Mail waiting under Not sorted stays until you mark it Not about money, which forgets its words, or delete your account.
  • Imports: disconnect Xero, QuickBooks, Zoho Books, Invoice Ninja or Sage in the app. We delete our copy of the connection keys. What was already imported stays in your account until you delete it.
  • Online payments: your ID photo and selfie are deleted as soon as we have made our decision on your check.
  • Charging: once we start charging, we keep the record of what we charged you for five years, as tax law requires, without the rest of your information.
